Privacy Policy

In short

This policy explains how dentalads.uk collects, uses and protects personal data in line with the UK GDPR, the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR). It covers visitors to this website and anyone who contacts us through it. It is general information rather than legal advice, and it does not replace or form part of any separate signed agreement for advertising services — those are covered by their own contract.

1. Who we are

dentalads.uk is the data controller for the personal data described in this policy — meaning we decide how and why it is processed. We are an independent dental advertising specialist, incorporated and based in India, providing services exclusively to dental practices in the United Kingdom.

Registered business details Add registered company name, Corporate Identification Number (CIN) or applicable business registration number, and registered office address in India.

Because we market to, and collect data from, people and businesses in the UK, UK GDPR applies to that processing regardless of where we're based — this is often called its "extraterritorial scope." We're also subject to India's Digital Personal Data Protection Act, 2023 as a business incorporated there. Where the two frameworks differ, we aim to meet whichever standard is higher.

You can contact us about privacy matters at info@dentalads.uk or 07767 564 352.

2. What personal data we collect

We collect personal data when you interact with this website — for example, by booking a strategy call, requesting an advertising audit, or browsing the site.

We do not knowingly collect any special category data (such as health data) about you as a website visitor. If your enquiry relates to patient-facing services, please do not include identifiable patient information in messages sent through this site.

3. How we use your data

  • ✓To respond to enquiries and arrange strategy calls or audits — our legitimate interest in responding to you, and steps taken at your request before any contract.
  • ✓To provide advertising services once you engage us as a client — performance of a contract.
  • ✓To send information you've asked for, such as audit findings — legitimate interest or consent.
  • ✓To understand how visitors use this site and to improve it — legitimate interest, using aggregated analytics data.
  • ✓To meet our legal, tax and accounting obligations — legal obligation.

We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects on you.

4. Cookies and similar technologies

We use a small number of cookies and similar technologies to run this site and understand how it's used.

Under PECR, we rely on your consent for non-essential cookies such as analytics, where required. If a cookie consent banner is added to this site, this section should be updated to describe how consent is captured and can be withdrawn.

5. Who we share your data with

  • ✓Google LLC — Google Analytics and Google Tag Manager, for site usage analytics.
  • ✓GoHighLevel (or our CRM provider) — managing bookings, form submissions and follow-up communication via our Contact page.
  • ✓Our hosting provider — storing this website and any data submitted through it.
  • ✓Professional advisers — such as our accountant, where necessary.
  • ✓Law enforcement or regulators — only where we are required to by law.

We do not sell your personal data to third parties.

6. International data transfers

Because we're based in India, this applies to all of your data — not just some of it

Personal data you give us through this website is transferred to, and processed by us in, India. India does not currently have a UK "adequacy" decision, so this transfer needs its own safeguard under UK GDPR rather than relying on adequacy alone. Where required, we put an appropriate transfer mechanism in place — normally the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses — so your data continues to receive UK-standard protection after it reaches us. You can request a copy of the safeguard we rely on by contacting us.

Separately, some of the third parties listed above — including Google — may themselves process data in countries outside the UK. Where that happens, they are responsible for their own appropriate safeguards (Google, for example, publishes its own data transfer commitments for Google Analytics).

7. Our UK representative

Because we're a controller based outside the UK processing UK residents' personal data, UK GDPR (Article 27) requires us to appoint a UK-based representative, unless an exemption applies — for example, where processing is occasional, low-risk, and doesn't involve special category data at scale.

UK representative status Confirm whether an Article 27 exemption genuinely applies to your processing (recommended: get this assessed by a solicitor rather than assumed), or add the name and contact details of your appointed UK representative here.

Until this is confirmed, please treat info@dentalads.uk as the primary contact for any UK GDPR matter, including requests intended for a UK representative.

8. How long we keep your data

  • ✓Enquiry and contact form data: up to 24 months from your last contact with us, unless you become a client.
  • ✓Analytics data: retained per Google Analytics' default settings (currently up to 14 months).
  • ✓Client records: retained for as long as required by our contract with you and by UK tax law — normally six years after the relevant accounting period.

9. How we protect your data

This site is served over HTTPS encryption throughout. We limit access to personal data to those who need it, and we use reputable third-party providers who are themselves bound by data protection obligations. No method of transmission or storage is completely secure, but we take steps appropriate to the risk involved.

10. Your rights under UK GDPR

You have the following rights over your personal data:

  • ✓Access — request a copy of the data we hold about you.
  • ✓Rectification — correct inaccurate or incomplete data.
  • ✓Erasure — ask us to delete your data in certain circumstances.
  • ✓Restriction — limit how we use your data.
  • ✓Portability — receive your data in a portable format.
  • ✓Objection — object to processing, including direct marketing, at any time.
  • ✓Automated decisions — not applicable; we don't use this.
  • ✓Withdraw consent — at any time, where we rely on consent.

To exercise any of these rights, contact info@dentalads.uk. We will respond within one calendar month, as required by UK GDPR.

11. Children's privacy

This website and our services are intended for business use by dental practices and are not directed at children. We do not knowingly collect personal data from anyone under 18.

12. Complaints and the ICO

If you're unhappy with how we've handled your data, please contact us first so we can try to put it right. You also have the right to lodge a complaint with the UK's independent supervisory authority:

13. Changes to this policy

We may update this policy from time to time — for example, to reflect changes in the law or in how we use data. The "last updated" date at the top of this page shows when it was last revised.
